Cancellation Policy

The National Ability Center adheres to the following cancellation policy. Cancellation notices received within the following time frames will be eligible for refunds or make-ups and will be treated a No Call/ No Show (“NC/ NS”) as detailed in the situations below. See Notice of Tardiness or Cancellation, Make-up Policy and No Call/ No Show Policy for additional information.

 

Cancellation by a Participant of a Session Reservation

Notice of cancellation received:

At least one (1) week prior to the first lesson start time:

  • Full refund minus $20 administration fee. *
  • No make-up available.

Less than one (1) week but at least 24 hours in advance:

  •  50% refund.
  • No make-up available.

Less than 24 hours but at least 2 hours in advance:

  • No refund.
  • No make-up available.

Less than 2 hours in advance:

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

No Call/ No Show (NC/NS):

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

*Admin fee only applied to Equestrian, Ski & Snowboard, Water Sports, & Open Adventure programs.

 

Cancellation by a Participant of an Individual Lesson within a Session

Notice of cancellation received:

At least one (1) week prior to the first lesson start time:

  • No refund.
  • Make-up available, except for group lessons.

Less than one (1) week but at least 24 hours in advance:

  • No refund.
  • No make-up available.

Less than 24 hours but at least 2 hours in advance:

  • No refund.
  • No make-up available.

Less than 2 hours in advance:

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

 No Call/ No Show (NC/ NS):

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

The National Ability Center does not prorate the cost of lessons within a session.

 

Cancellation by a Participant of Non-Session Lessons, Camps, Family Programs & Open Adventure Trips

Notice of cancellation received:

At least one (1) week prior to the first lesson start time:

  • Full refund minus $20 administration fee. *
  • No make-up available.

Less than one (1) week but at least 24 hours in advance:

  • 50% refund.
  • No make-up available.

Less than 24 hours but at least 2 hours in advance:

  • No refund.
  • No make-up available.

Less than 2 hours in advance:

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

No Call/ No Show (NC/ NS):

  • No refund.
  • No make-up available.
  • Treated as a NC/ NS.

Notice of Tardiness or Cancellation

To cancel a lesson or give notice that a participant will be late, the phone numbers below should be used:

During Business Hours:
For the Ski & Snowboard Programs: Call the Mountain Center at 435-940-1596 or text 435-649-3991.
For All Other Programs: Call or text the Ranch Front Desk 435-649-3991.

Lesson Start Time Policy

  • If a participant is more than 20 minutes late and the National Ability Center has not received a call or text indicating tardiness at the appropriate number above, that participant’s lesson will be cancelled without a refund or make-up and will be considered a No Call/ No Show. See No Call/ No Show Policy.
  • If the National Ability Center has received a call or text at the appropriate number above and the participant will be more than 20 minutes late, a lesson will be provided, if practical, but it may be modified and will end at the regularly scheduled time.
  • Participants arriving within 20 minutes of the scheduled start time will receive a lesson but the lesson may be modified and will end at the regularly scheduled time.

Sample Application of this Policy

Private equestrian lesson example: Participants arriving late may not have the time to ride but could receive a lesson in horsemanship.

Group equestrian lesson example: If no one is available to supervise the late arriving participant tack up their horse, the participant will not be able to ride that day. Please note: It is not always possible for a late participant to join a group lesson nor can the quality of the lesson be guaranteed for the late participant.

Open Adventure Trips/Family Programs example: If a participant arrives at the meeting place after the group has left to begin the adventure or program, the participant forfeits the lesson and no refund will be issued.

Cancellations by The National Ability Center

The National Ability Center reserves the right to cancel lessons, experiences and camps at any time if the conditions are deemed unsafe. This includes adverse weather conditions, highway/resort closures or other unforeseen circumstances. In the rare event that the National Ability Center cancels a lesson, experience or camp, the following applies:

  • Lessons within a Session Not Already in Progress: The National Ability Center may schedule a make-up lesson at no additional charge. If the participant is unable to attend the offered make-up lesson, no credit or refund will be issued. If the National Ability Center is unable to offer a make-up lesson, a prorated credit will be offered.
  • Single Lessons Not Already in Progress: The National Ability Center will provide a make-up lesson at no additional cost.
  • Family Programs and Open Adventure Trips Not Already in Progress: The National Ability Center will provide a full credit or refund.
  • Camps: The National Ability Center will provide a full credit or refund. Camps are subject to cancellation due to low reservations or at the discretion of the Camp Manager.
  • Lesson or Program in Progress: no credit or refund available. A make-up may be available if the cancellation is due to adverse weather. See Adverse Weather Policy.

Adverse Weather Policy

If the staff member feels that adverse weather conditions do not allow for the safe commencement or continuation of an activity, the staff member is empowered to cancel the activity to mitigate possible risk to participants and manage safety issues. Adverse weather conditions include but are not limited to:

  • Lightning in the area
  • Strong wind gusts
  • Driving rain
  • Unsafe weather temperatures

In the event that thunder or lightning occurs in the area, a minimum of thirty (30) minutes must pass after the last sound/sighting of thunder or lightning strike prior to the resumption of any activity. The National Ability Center will perform conditions checks every 30 minutes and the activity will resume once conditions are deemed safe. If the National Ability Center cancels a lesson due to adverse weather within the first 30 minutes of the lesson’s scheduled start time, a make-up lesson may be scheduled at no additional charge (please note that there are no make-ups for hippotherapy or camps).  If the National Ability Center cancels a lesson due to adverse weather more than 30 minutes into the lesson, no make-up will be offered.

Participants should plan to participate in scheduled activities in light rain and wind.

Make-Up Policy

National Ability Center offers make-up lessons as provided above in the Cancellation Policy. Notwithstanding anything to the contrary contained herein, there are no make-ups for hippotherapy or camps.

The cost of each make-up lesson varies by program as provided below:

 

Equestrian $20.00
Open Adventure Trips $20.00
Ski & Snowboard $20.00
Water Sports $20.00
All Other Programs $7.00

 

In addition, the following apply to make-up lessons:

  • Make-ups must be completed within the same season as the lesson cancelled and may not be carried forward to future seasons.
  • No more than two (2) lessons from a session are eligible for make-up and may be made up at any time in the same season.
  • Make-ups will be scheduled pending the availability of program staff, space and equipment or other needed resources.
  • Equipment rentals are not guaranteed for make-ups in the Ski and Snowboard Programs.
  • Participants are only entitled to schedule one (1) make-up lesson per make-up eligible lesson.
  • Any make-up lessons cancelled may not be rescheduled.

 

The make-up of lessons which take place at locations not owned or operated by the National Ability Center are further subject to the policies of the owner/operator of such locations.

No Call/ No Show Policy

A No Call/ No Show occurs when a participant or their representative either (a) calls/texts less than 2 hours before the lesson start time to cancel or (b) does not call and the participant fails to arrive within 20 minutes after the start time of the scheduled lesson. See Notice of Tardiness or Cancellation for appropriate numbers to call or text. A lesson may also be reflected as a No Call/ No Show if the participant’s paperwork is not fully completed prior to the date that is two (2) weeks prior to the lesson start date.

A No Call/ No Show lesson is not eligible for a make-up or a refund. In addition, if a participant is a No Call/ No Show for two (2) lessons within a session, the remainder of the participant’s lessons for that session may be cancelled and no refund and no make-ups will be allotted to the lessons cancelled. In addition, the participant’s scholarship eligibility may be re-evaluated.

Participants with multiple No Call/ No Show lessons across programs may also be subject to the following: the loss of future scholarship eligibility, a re-evaluation of scheduled lessons for the season, and/or the cancellation of the current session, including all scheduled lessons.

 

Policy Expectations

Exceptions to the Cancellation, Make-up and No Call/ No Show policies include medical emergencies, contagious illnesses, natural disasters or highway closures. For an exception to be considered, the Front Desk or Program Department must receive a call with an explanation of the event justifying the requested exception to the policy. That call must be received: (a) not later than 24 hours after the lesson start time, for requested exceptions as a result of medical emergencies; or (b) prior to the scheduled lesson start time, for other requested exceptions. Exceptions to the Cancellation, Make-up and No Call/ No Show policies will not be considered if it is snowing or tire chains are required.
